Hotel stay cancellation policy for reserved rooms

Our hotel stay cancellation policy is short because the rules that decide money belong to the lodging. The office's job is to put your change in front of the right desk quickly and to tell you, in writing, what the lodging answered.

Before you approve a quote

Nothing is reserved until you say yes in writing, so changing your mind costs nothing. Tell the office and the request is closed, or ask for different dates and a new quote follows.

After your yes, the lodging's rules

Every quote prints the lodging's own deadline for changes, any deposit it holds and any charge for a late cancellation or an early departure. Those are the rules that apply. Small inns in towns of a few thousand people often ask for more notice than a city hotel does, and some keep a deposit if a room cannot be filled again; the quote says so in plain words for the room you approve.

Asking for a change

  1. Write to the office or call during phone hours with the name on the reservation and what you want to change.
  2. The office passes it to the lodging the same weekday if it arrives before 2 pm, otherwise the next weekday morning.
  3. You receive the lodging's answer in writing: the new dates and rate, or what canceling would cost under its policy.
  4. Nothing changes until you confirm the new arrangement.

Refunds

Because you pay the lodging directly, any refund comes from the lodging, back to the card or account you used, on its own timetable. The office never holds your money, so there is nothing for it to return; what it can do is chase the lodging when a promised refund is slow to appear.

If the hotel or inn alters your reservation

If a lodging closes a wing, changes the room type or cannot honor the reservation, the office tells you as soon as it hears and offers the choices: another room there, another lodging of the same kind in the same town or the next town of a similar size, or letting the stay go with whatever refund the lodging owes you.

Weather and roads

Ice on the roads into the Ozarks or a flooded river road can make a drive unwise. Most lodgings treat that under their ordinary change rules, not as a special case. Call as early as you can; an early call gives the desk the most room to help.
